Weddings and Commission Changes

There’s always so much to do before and after a wedding. However, if you are a notary and getting married, don’t forget to deal properly with changes to your commission.

When you have a name and address change, you must notify the Secretary of the Commonwealth in writing and the recorder of deeds in the county of your office of record in person or in writing within 30 days.

You can continue notarizing documents using the name that’s on your current rubber stamp seal until your current commission expires and reapply using your new name, or you can purchase a new rubber stamp seal and register your new signature with the county prothonotary and begin signing with your new name.

If your address had changed, you must inform the Secretary’s office within five days in writing or through the Web site at www.dos.pa.gov. Under “Key Services,” click “Notaries” and “Notary Services” and then “Update Information.”

File your change of address with the county recorder of deeds within five days in person, in writing or electronically if the recorder’s office has this capability. There will be fees involved in changing your address so call the recorder’s office beforehand to determine the correct amount of fees.

If you have moved to a new county, you will have to register your signature with the prothonotary of your new county within 30 days. Call to determine this fee. A move to a new county will also necessitate the purchase of a new rubber stamp seal.

PAN offers two forms – PAN-11, the notary change of name form, and PAN-6, notary change of address form. Both forms include individual acknowledgments so they can be recorded into the public record at the recorder of deeds’ office. Remember, you must go to another notary to notarize your acknowledgment.

If you no longer work or live in Pennsylvania, you are prohibited from serving as a Pennsylvania notary. You must resign in writing and deliver your commission and rubber stamp seal to the Secretary of the Commonwealth within 10 days. You must deliver your registers to the county recorder of deeds within 30 days.

Failure to register a name and/or address change, or surrender your commission, seal and register upon leaving the state can result in fines.
